Summary:
This is an in-person position in our Monterey, CA office.
The Administrative Assistant manages all office needs and provides support to project teams and accounting.
ESSENTIAL DUTIES AND RESPONSIBILITIES include but are not limited to the following.
These duties describe the minimum activities of this position.
These duties are subject to change to accommodate the needs of the company.
OFFICE MANAGEMENT o Receive and route company calls, take messages as needed.
o Greet and direct all incoming Otto guests.
o Open and distribute all incoming mail and packages.
o Stamp/post all outgoing mail and packages.
o Maintain reservation schedule for conference room.
and training room; order lunches if needed.
o Maintain neatness of lobby and reception area.
o Maintain the cleanliness and neatness of the break room.
o Order office/kitchen/copier/plotter supplies and maintenance.
o With direction from IT, assist with troubleshooting IT issues.
OTHER o Assist and support project teams and accounting as needed.
o Process owner change requests, change orders and purchase.
o Process owner billings and prepare conditional or unconditional waivers.
o Process and create subcontractor change orders.
o Track and update subcontractor compliances.
o Assist with onboarding new employees.
o Make requested employee hotel reservations and verify invoices.
QUALIFICATION REQUIREMENTS:

EDUCATION and/or
Experience:
5 years progressive office experience.
LANGUAGE SKILLS:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
Ability to speak effectively in one-on-one situations with customers and employees.
MATHEMATICAL SKILLS:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
REASONING ABILITY:
Ability to interpret a variety of instructions furnished in written and oral form.
CERTIFICATES, LICENSES, REGISTRATIONS:
Valid driver's license and good DMV record to operate vehicle on company's behalf.
SKILLS AND ABILITIES:

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
