Summary:
Work in conjunction with the Director of Revenue Management overseeing the day-to-day operation of Revenue Management and Reservations Department.
Establish and maintain high quality of guest service, departmental employee morale, and a consistent high rate of production and efficiency.
ESSENTIAL DUTIES AND
Responsibilities:
Oversee reservation department daily operations, including, but not limited to, training new hires, administrative tasks, employee schedule, productivity tracking and meeting revenue goals under direction of Director of Revenue Management.
Directly supervises 4 to 8 employees in accordance with the company's policies that include coaching, assigning, and directing work; assisting in performance appraisal; rewarding and employees; addressing internal and external complaints and resolving problems.
Conduct preliminary interviews with DORM for open positions.
In conjunction with the DORM, communicate selling status and goals of hotel with reservations agents and all other departments.
Advanced use of PMS computer system Effectively create, access, maintain and utilize room block function in conjunction with group rooms coordinator.
Effectively access, maintain, and utilize guest history records.
Create and access reservations with attention to detail, speed, and accuracy.
Accurately set up appropriate billing accounts.
Designate and apply appropriate travel agency and third-party commission(s).
Process advance deposits and initiate deposit refunds when appropriate.
Maintain complete knowledge of:
Restricted dates, rates and room types, Daily room type availability All room rates, packages, and promotions Maintain a complete knowledge of and follow proper booking procedures for reservation packages including appropriate amenities.
All guestroom layouts, bed types, d cor, appointments, and locations All contracted negotiated rate agreements between hotel and clientele and all special arrangements between hotel and industry partners Local entertainment, special events, conferences scheduled at the hotel and within the area.
Resolve guest complaints by verbal or written communication, adhering to hotel standards to ensure guest satisfaction.
Attend all supervisor and/or pre-convention meetings, market manager meeting, when appropriate.
Maintain open lines of communication with key departments such as sales, marketing, front office, and other departments.
Ensure timely process and respond to all reservation requests made indirectly to the hotel within 24 hours of receipt.
Compile department productivity reports as directed by DORM.
Adhere to company requirements for guest/employee accidents or injuries and in emergency situations.
Support safe work habits and always contribute to a safe working environment.
QUALIFICATIONS, SKILLS & ABILITIES:
Two years' experience in reservations supervisory role or equivalent experience.
Ability to accept responsibility and account for their actions.
Identify operational challenges associated with their group and works with the hotel staff to solve these challenges and/or develop alternative solutions.
Ability to complete assigned tasks under stressful situations.
Ability to get along well with a variety of personalities and individuals.
Knowledge resort/hotel service standards, guest relations and etiquette.
Ability to work a flexible schedule that may include evenings, weekends and holidays.
Ability to multi-task, manage interruptions, establish work priorities, handle stress, and effectively function in a fast-paced environment.
EXPERIENCE & EDUCATION:
Two year's related reservation hotel/resort industry experience and/or training.
High school diploma or equivalent Experience, Hotel/hospitality experience preferred.
LANGUAGE SKILLS:
Ability to read, comprehend and provide instructions in English, both written and verbal.
COMPUTER SKILLS:
Experience with front office systems and Delphi or Amadeus preferred.
Proficient in Microsoft Outlook, Office, Word, Excel and Internet applications.
